How can I best keep track of my team's diaries/weekly planner?
I now have 3 dog walkers working for the business, but I need to keep track of each persons' schedule on a weekly basis. I will use this to cross check invoices received prior to payment of invoices. What is the best free online system recommended?
Have everyone using Google Calendar and make the each persons dog walking schedule collaborative back to you, with everything else kept private. This is just about a standard now, and with any SMS alerts or email reminders you may wish to setup you can't go wrong.
Procedure would be:
- Add event in your master calendar, but choose their calendar within yours in terms of where it will show up as well. You will own the event, but seen on their ones as well.
Will you also want your clients to be able to book appointments, or are you looking for a solution to look at appointments on someone else's calendar? If the latter, you can share individual calendars to one master on Google Calendars. The drawback with this method is you'll also see the other appointments that may not be related to your business. Certainly online calenders such as outlook and google are good, my preference being outlook as the calenders can be shared and you can review what is going on. Also this can be merged with an online scheduler for clients like calendy to allow bookings. that way you can see all of what is going on. If you want to get more into it then online timesheeting systems such as in Xero could be used as well as this links in with payroll but is not as useful as the calender method in seeing what the schedules look like. I agree with the Google Calendar recommendation. The advantage of using Google Calendar to coordinate your team's schedule is that it works on various pc, laptop and other mobile devices; it's free; and most people already know how to use it.
Our pet care company uses Blue Wave Application. They invoice us, we pay online, and they manage their staffs schedule. They have said great things and we also enjoyed using the system, as their customer (scheduling and paying). For serious and professional business tools one should not got for free options. I suggest you to get an app developed, which can cover all your requirements professionally. Further, if you discuss details of your business, I can suggest you cheap and best mobile option.
Ms Kate, just have a morning meeting over a cup of coffee. Discuss the pending issues and the target date. Find out why it has not been completed. Re-prioritize it with involvement of the team and set the date. You don't need an online system for this. FLORENCE MACDONALD
